2. What data do we process and why?
We process personal data relating to enquiries, proposals, reservations and services. This may include your name, contact details, preferred language, and reservation, service and invoicing information. For business customers, we also process contact persons’ details.
We receive information from you, the person booking for your group, or a travel agent, reseller or booking service handling your reservation.
Our purposes and legal bases are:
Enquiries, proposals, reservations and providing services: performance of a contract or steps taken at your request before entering into a contract.
Communications with business contact persons: our legitimate interest in managing business customer relationships.
Invoicing, accounting and traveller registration: compliance with legal obligations.
Non-essential website analytics: your consent.
Technical operation, security and prevention of misuse: our legitimate interest in maintaining functional and secure services.
Without the necessary information, we may be unable to respond to your enquiry or provide the service. Information required by law must be provided to fulfil the relevant obligation.
We do not use personal data for direct marketing or collect consent for direct marketing. We do not make solely automated decisions about customers that produce legal or similarly significant effects.
For dietary requirements, we generally request numbers without names. Please avoid submitting unnecessary health information through forms or email.
3. Service providers and recipients
We use service providers to process personal data, including:
Squarespace: our website and enquiry forms.
Google Analytics 4: analysis of website use.
Moder: reservations and customer records.
Paytrail: online payment processing.
Email, accounting and other providers needed to deliver our services.
Information necessary to provide an agreed service may be shared with providers such as transport or activity operators. Information is disclosed to authorities where required by law.
Moder processes customer data stored in its booking platform on our behalf. Depending on the processing activity, Paytrail acts as a data processor or an independent data controller.
Further information: Moder’s Privacy Policy and Paytrail’s privacy information.
4. International data transfers
Use of Squarespace and Google services may involve processing personal data outside the EU and EEA, including in the United States. Depending on the circumstances, transfers rely on European Commission Standard Contractual Clauses or an adequacy decision, such as the EU–US Data Privacy Framework for participating recipients.
The Moder booking platform is hosted within the EU, in Stockholm, Sweden. Moder also uses sub-processors whose services may involve processing personal data in the United States or accessing data from outside the EU/EEA. Depending on the provider, these transfers rely on European Commission Standard Contractual Clauses or the EU–US Data Privacy Framework for participating recipients. Further information about providers, processing locations and transfer safeguards is available in Moder’s current list of sub-processors.
For further information about transfer safeguards and how to obtain a copy, please contact info@northernsenses.com.
5. Retention
Our aim is to retain personal data relating to enquiries and proposals that do not result in a booking for no more than 12 months after the last contact concerning the matter, and customer relationship data for no more than 12 months after completion of the service and invoicing. We apply this deletion practice to the systems we use; deletion in Moder currently requires a request to its support service.
Accounting records and traveller registration data are retained for the periods required by law. Information needed to handle legal claims may be retained for as long as necessary to resolve them.
Technical logs and analytics data are retained according to their purpose and the service settings. Cookie lifetimes are provided in the cookie information.
6. Website cookies and analytics
Our website uses Squarespace cookies and Google Analytics 4. Information processed may include your IP address, device and browser information, pages viewed and actions taken on the website.
Non-essential analytics cookies are activated only with your consent. You can accept or reject them and change your choice through the website’s cookie settings. Withdrawing consent does not affect the lawfulness of processing before withdrawal.
Moder’s booking website has a separate CookieYes consent management service. No HoNS Google Analytics or Google Tag Manager identifiers have been entered in the Moder property settings we have checked.
7. Your rights
Subject to the applicable conditions, you have the right to:
access your personal data and request its correction or erasure;
request restriction of processing;
object to processing based on legitimate interests on grounds relating to your particular situation;
receive the data you have provided in a transferable format;
withdraw your consent.
Please send requests to info@northernsenses.com. We may need to verify your identity to fulfil a request.
You may lodge a complaint with the Finnish Data Protection Ombudsman if you believe that your personal data has been processed unlawfully.
